The plate price is only the beginning
You shortlist a venue at ₹1,200 per plate. With 200 guests, the food calculation looks simple: ₹2,40,000. Then the conversation moves to the stage, the room, service charges and extra guests. Before comparing two venues, turn each quote into the same list of inclusions.

Start with a guest guarantee, not just a guest list
Ask how many guests you must pay for even if fewer attend. A minimum guarantee of 200 with 180 actual guests can still mean paying for 200 plates. Agree how additional guests are counted, whether children have a separate rate, and whether vendor meals are included. Record the guaranteed count and the deadline for changing it.
Keep food and room hire in separate columns
Some packages include the hall when you meet a minimum catering commitment. Others charge rent separately. Do not add a standalone rental price to a package that already includes it. Ask the venue to state the exact hall, event date, slot, meal service and minimum billing in one written quote.
A worked example, not a venue quote
Imagine 200 plates at ₹1,200, plus ₹40,000 decor and ₹15,000 sound. The subtotal is ₹2,95,000 before applicable taxes and any separately charged hall rent. If room hire is ₹75,000 extra, the subtotal becomes ₹3,70,000. These are illustrative amounts, not rates offered by either Delhi venue. Ask for an itemised total including every applicable charge.
Find the costs that depend on your programme
Check whether the quote includes furniture, linen, basic lighting, power backup, changing rooms, cleaning and parking. Ask about outside decorator fees, additional electricity, overtime and the time allowed for setup. A reception ending later than its booked slot may change the total even when the guest count stays the same.
| Item | Hall A | Hall B |
|---|---|---|
| Food for 200 guests | ₹2,80,000 | ₹2,20,000 |
| Separate hall rent | Included | ₹80,000 |
| Subtotal before extras / taxes | ₹2,80,000 | ₹3,00,000 |
From planning to places
Put this guide to work.
Choose a city and start your shortlist.
Make the final quote easy to compare
Send each venue the same date, guest guarantee, menu and event timings. Request a total payable amount, an inclusion list and payment milestones. Ask what happens if you postpone or cancel, and which deductions apply. Keep the written terms with the receipt. A lower plate price is useful only after the rest of the package is clear.
Choose a budget ceiling before choosing a package
Write down the amount you can spend on the venue and its services without borrowing from other parts of the celebration. Keep photography, clothing and travel outside this comparison unless a package explicitly includes them. Then reserve a separate allowance for choices that are still open. An undecided guest count is not a small detail: at ₹1,200 per plate, 25 additional guests change the food subtotal by ₹30,000. Discuss that possibility before paying for decorative upgrades.
Compare two offers on equal terms
Suppose Hall A quotes ₹1,400 per plate for 200 guests with room hire included, while Hall B quotes ₹1,100 per plate plus ₹80,000 room hire. Before extras, A comes to ₹2,80,000 and B to ₹3,00,000. The cheaper plate is the more expensive package in this example. This is an illustrative comparison, not a market-rate claim. Add the same menu upgrades, event duration and decor requirements to both columns before deciding which offer gives your family better value.
Turn a vague inclusion into a useful specification
A phrase such as basic decor tells you very little. Request the stage dimensions, backdrop materials, number of table centrepieces and whether fresh flowers are included. Similarly, ask whether sound means a microphone and two speakers or a technician-supported system for a performance. A clear specification lets you accept a simple package confidently, remove something unnecessary, or recognise that the package needs an upgrade. Keep the description beside the price rather than relying on a reference photograph alone.
Use a one-page quote request
Send this brief to every shortlisted venue: event date and alternative date; function type; expected attendance and guaranteed count; exact room; setup and guest timings; vegetarian or mixed menu; dining arrangement; decor reference; and accommodation needs. Ask for a line-by-line quote and an expiry date. Put unresolved items in a separate questions column. This makes follow-up calls shorter and prevents one family member from comparing a lunch package with another member’s evening reception quote.
Keep this checklist handy.
- Exact hall name, date and event slot
- Guaranteed guests and extra-guest rate
- Food, rent, decor and equipment shown separately
- Applicable taxes and total payable amount
- Payment schedule, cancellation and postponement terms
Frequently asked questions
Can I compare venues using only the plate price?
Compare the same guest guarantee, menu and event duration. Add room rental, decor, taxes, staffing and any overtime before comparing written totals.
What should a written quote identify?
Ask for the named event space, date and slot, included services, minimum guest commitment, payment schedule and cancellation terms.
